
HGCA R&D Publicity Guidelines
(a) These guidelines apply to anybody working on a research or knowledge transfer project funded by HGCA, and are issued in conjunction with the project offer letter and appropriate terms and conditions document.
(b) You may make information (research results and data) arising from the project available generally (subject to necessary consents from collaborators and other funding partners) provided that:
(i) the information is referred to HGCA in the form in which you intend to release it with a request for permission to release it;
(ii) the information complies with any confidentiality and IP clauses agreed at the outset of the project by HGCA or other funding partners;
(iii) HGCA has not indicated in writing within a period of four weeks from receipt of the request that permission is refused and given the reasons therefore. In the event of the permission being conditional, those conditions shall be respected and in the event of the permission being refused, the Applicant shall treat such information as being confidential information which will remain the property of the Authority; and
(iv) all such forms of publication include a statement in a form approved by HGCA that the project was supported by HGCA and comply with clause 12 in the terms and conditions document. When referring to HGCA in a publication, the acronym ‘HGCA’ should be used rather than ‘Home-Grown Cereals Authority’.
(c) In any forms of publication released by HGCA relating to the project we shall identify the involvement of you and each of the collaborators (if any).
(d) If you are approached by journalists from the press, HGCA should be informed of any resulting press coverage to ensure that HGCA’s publicity records are up to date and duplication of effort is avoided.
(e) HGCA may request that you deal exclusively with a specific journal or newspaper for the purposes of publicising results from a project.
(f) You are encouraged to prepare a selection of photographs or electronic /images to illustrate the project, and to make these available for use by HGCA and journalists, for publicity purposes.
(g) Where necessary, HGCA may be able to help with the production of press releases and articles, and advertising on the HGCA Internet site. All enquiries should be directed to the R&D Department as indicated below.
(h) You should keep a portfolio of papers, press articles and other publicity materials relating to the project, a summary of which should be presented to HGCA during annual project monitoring meetings and documented in the Project Management Report. Copies should be forwarded to HGCA (contact details below).
(i) HGCA encourages the publication of project results in refereed journals and in third party newsletters, at scientific meetings and conferences, and at meetings for levy-payers, in accordance with the conditions outlined in paragraph (b) above. Copies of all published papers and conference proceedings should be forwarded to HGCA (details below). Please send electronic versions of documents whenever possible.
